Multi-Branch Setup & Management

Configure multiple store locations, sync inventory across branches, and manage consolidated reporting.

Multi-branch management on PharmNex gives you a unified view of all your locations while maintaining per-branch operational independence. This guide walks through adding branches, assigning staff, syncing inventory, and reading consolidated reports.

Adding a New Branch

Only accounts on the Enterprise plan can add multiple branches. From Settings → Branches → Add Branch, enter the branch name, address, GSTIN (each branch may have a separate GSTIN), and contact details. The new branch is immediately available in the branch switcher.

  3. 3Set the branch timezone and default currency
  4. 4Save — the branch is now active

Tip: Each branch can have a different invoice prefix (e.g. "BRN2-") to distinguish invoices during audits.

Assigning Users to Branches

Navigate to Settings → Users & Roles. When adding or editing a user, assign them to one or more branches and set their role per branch (Owner, Manager, Cashier, Viewer). A user's dashboard automatically scopes to their assigned branches.

Tip: Give the Owner role only to finance and management staff — Cashiers should only access Billing and Inventory.

Sharing a Central Product Catalogue

Enable the Central Catalogue feature under Settings → Inventory → Shared Catalogue. All branches will draw products from the same master list, ensuring consistent pricing and HSN codes. Individual branches can set local MRP overrides if needed.

Inter-Branch Stock Transfers

When one branch is overstocked and another is running low, use Inventory → Stock Transfer. Select the source branch, destination branch, product, batch, and quantity. The transfer is logged at both ends and shows as "In Transit" until the receiving branch confirms.

  3. 3Add products, batches, and quantities
  4. 4Submit — stock is deducted at source as "In Transit" immediately
  5. 5Receiving branch: Inventory → Stock Transfer → Confirm Receipt

Consolidated Reporting

From the Reports module, toggle the branch selector to "All Branches" to see group-level revenue, expenses, inventory value, and GST summaries. You can drill down to individual branches at any time. Consolidated GSTR data is also available for group filing.
